Grow Your Database in 15 Minutes or Less

So, you've made it through 2023. Is your database organization up to par for what 2024 will bring?


Here's an exercise I ran with my team this week to build their databases:


Step 1: Create a spreadsheet with the following columns: First Name, Last Name, Email 1, Email 2, Phone 1, Phone 2, Address, City, State, Zip, Date of Closing.


Step 2: Add Past Clients

  • Run an MLS search of your past closings by changing the status to "Closed" and entering you in as the "Selling/Co-Sell Agent." Select All -> Print to PDF.

  • Run this again and enter you in as the "Listing/Co-List Agent." Select All -> Print to PDF.

  • Fill in all contact information on your spreadsheet. Review Transaction Desk contacts for emails and check your phone for numbers.

  • Review Tax records if you can't remember client names.


Step Three: Add Your Sphere

  • Open your favorite social media platform.

  • Write down the first 25 non-agent contacts that you see.

  • Go through your phone/email and find their contact information.

  • Repeat this weekly until you have a sizeable database!


Step Four: Add the names to your CRM

  • Make sure as you're adding contacts that you're also tagging them as "Past Client" or "SOI." Future you will thank you for the organization when it comes time to market to these people!


This simple exercise will kickstart your organization for when you're serving 10+ people and still want to stay top of mind with your PCSOI list. As always, I'm available for confidential business-building meetings.
